Smart management of phone booths: lastminute.com chooses myROOMZ

lastminute.com has been a European leader in online travel for over 20 years. For its headquarters in Chiasso, Switzerland, the company chose myROOMZ to optimise the use of its 27 phone booths.

Finding space in a multi-floor office environment

Stefano Poli, End User Service Team Leader at lastminute.com, was given a challenge in 2024. How to make it easier for the 450 employees spread across two buildings – one with seven floors and the other with three – to find an available phone booth when needed.

Stefano explained: “These small spaces, used for short calls and confidential exchanges, are important, yet their occupancy status changes constantly. While we encourage our people to keep their step count up, traipsing around from floor to floor trying to find somewhere private was a waste of people’s time. We looked at a few suppliers with different offerings, before deciding ROOMZ had exactly what we needed.”

A unique approach with myROOMZ application

Instead of displaying traditional floor plans, lastminute.com configured myROOMZ to show a real-time list of all phone booths along with their occupancy status.
Each resource includes a clear indication of its floor and a complementary note such as “in front of Caracas meeting room”, helping employees navigate more easily through the buildings and improving overall wayfinding.

An inspiring office concept to manage phone booths 

To take the concept even further, the phone booths were named after partner airlines such as Air Europa, Iberia, and KLM. This reference to the travel industry strengthens the workplace identity and helps with easy identification. It also demonstrates how myROOMZ can flexibly adapt to existing office structures and address specific workspace management needs.

Thanks to this smart configuration, lastminute.com successfully met a key challenge: providing employees with instant visibility on space availability according to their needs throughout the day, while leveraging collaboration across their work environments.

Stefano added: “We’ve had a super positive reaction from our people since introducing ROOMZ, 18 months ago. As an international company, with teams spread across the globe, being able to make our Google Hangout calls privately is really important. So having a system where you can grab a booth without wasting time, or even leaving your desk until you have to, can only be a good thing.”
